JOB DESCRIPTION for a REJOICE LUTHERAN CHURCH COUNCIL MEMBER

1. General task of the council
The purpose and general task of the church council is to enable the congregation to carry on its mission and ministries as a part of the church of Jesus Christ and to oversee the total life of the congregation.

2. Responsibilities
The church council serves as a board of directors and as the trustees of the congregation.
Its responsibilities are indicated in Chapter 12 of the ELCA Approved Constitution for Congregations.

3. Relationships
The church council is directly responsible to the congregation. It shall be responsive to the will of the congregation, arrange regular communication with its members before and after its meetings, and involve as many members as possible in the life and ministries of the congregation. It shall submit a formal summary report of its activities to the congregation at an annual meeting.

4. Time Required
Take office at the January meeting
Attend at least one regular meeting of the council each month
Service on one or more of the ministry committees of the congregation (meets monthly)
May be asked to represent the congregation at conventions
May be asked to visit congregation and prospective members
Attend special ecumenical events
Represent and support the congregation by attending fellowship activities
Length of term is to 3 years renewable one time.

5. Personal Obligations of a Church Leader
Confirmed member of the church
Attend worship regularly
Receive Sacrament of Holy Communion frequently
Give regular financial support to the church as God may prosper
Support the pastor(s) and other staff members in their mutual ministry
Be a pattern of good works by word and example

Attendance at a synodical church day or workshop in your assigned area (if held)

COUNCIL PRESIDENT JOB DESCRIPTION

The term for President shall be one year. Election of President shall be as soon as possible after the Annual Meeting, normally at Council Orientation. The President remains President until the next President is elected. No elected officer shall be eligible to serve more than two consecutive terms in the same office.
The duties and responsibilities of all council members are covered under Chapter 12 of the Constitution. The following duties/responsibilities apply to this position:

· Preside at congregational meetings and all church council meetings.

· Attend committee meetings as called upon.

· Prepare agendas for council meeting. (This duty is not difficult. The agenda is developed during the Executive Committee Meeting and is compiled from the council calendar, committee meeting notes and written motions.)

· Serve as a member of the Executive Committee. This committee makes decisions that need to be made on a timely basis that don't need council approval.

· Serve as member of the Memorial Gift Committee.

· Deliver temple talks on behalf of the church council when necessary.

· Prepare President's report for Annual Report.

These are a number of the responsibilities of the president. Many other things may come up during the year that the president may or should take a lead role in. These have included the Building Committee, building fund drives, sale of former parsonage, refinancing of church loans, etc.

VICE PRESIDENT JOB DESCRIPTION

The term for the Vice President shall be one year. Election of Vice President shall be as soon as possible after the Annual Meeting, normally at the Council Orientation. The Vice President remains Vice President until the next Vice President is elected. No elected officer shall be eligible to serve more than two consecutive terms in the same office.


Monthly Responsibilities

· Attend all council meetings.

· Attend committee meetings as called upon.

· Act as liaison for one of the eleven committees.

· Collect agenda items for the council meeting.

· Attend Executive Committee meetings. (Council agenda and other items are discussed at these meetings.)

· Report Vice President activities at council meetings.

· Work closely with the Pastor(s) and President to keep communication lines open.


Yearly Responsibilities

· Organize Nominating Committee.

· Serve on Nominating Committee.

· Write a Vice President Annual Report


Continuing Responsibilities

· Preside over meetings in the absence of the President.

· Special projects as called upon.

· Attend workshops and meetings as called upon.



 

CHURCH COUNCIL SECRETARY JOB DESCRIPTION

Responsibilities

· Attend all church council and congregational meetings (in non-voting capacity).
Appoint acting secretary if you are unable to attend.

· Take minutes at meetings. Submit to office Administrator as soon after council meeting as possible.

· Prepare all church council and congregational meeting minutes. Also submit these to Parish Administrator.

 

CHURCH TREASURER JOB DESCRIPTION

· Sign all checks.

· Member of Finance Committee

· In cooperation with Finance commitee, perform or oversee all accounting functions necessary to keeping records of the church. These duties include:

o Payment of invoices.

o Payment of taxes.

o Payment of payroll.

o Prepare monthly statements of income and disbursement and report to the council each month.

o Prepare annual statements for the congregation's review.

o Prepare condensed statement showing all receipts and disbursements.

o Keep in close contact with pastors and Council President about financial situations.


All accounting records are audited annually by the audit.


FINANCIAL SECRETARY JOB DESCRIPTION
Duties include:

· Recording pledges for the current and building offerings.

· Recording weekly giving current, special, and building offerings

· Prepare quarterly and yearly statements for each member.

 

Youth and Family Coordinator

Job Description: Coordinator of Youth and Family Ministries, Rejoice Lutheran Church
Purpose: Develop, rebuild and grow the Youth and Family Program, accomplished by directing and advising adults and youth in planning and developing youth, young adult and adult programs in accordance with the policies and direction of Rejoice.

Accountability: The coordinator is accountable to the Church Council for program’s direction and content, as a member of the Rejoice staff, to the Pastor for program coordination. The Coordinator will keep Council and the Pastor informed of plans, progress and problems, and will maintain open relationships with good communication, and both provide and expect mutual support in all aspects of all Rejoice programs.

Time Requirements: This is a part-time hourly staff position. Seasonal demands on time may vary, subject to supervisory confirmation.

Position Responsibilities:

Program Ministry

Provide leadership in planning, implementing and leading activities such as, but not limited to:

Sunday Church School Program

Weekly programs

Outreach ministries

Trips/retreats

Summer ministries and activities, such as VBS

Participate in regular worship service(s)

Leadership Development

Identify and recruit youth leadership

Provide nurture and mentoring for youth leaders

Ministry to Families

Initiate contact with youth and parents, through school/athletics events, personal visits and other means

Develop Pre-Schoolers program

Foster relationships of cooperation with parents

Develop an educational ministry to parents, in their role as family spiritual leaders

Mission/Service Opportunities

Work with Committees to plan and organize special mission experiences

Administration

Maintain communication with Council, its committees, and the Church staff.

Attend committee meetings, as appropriate

Qualifications: Background or experience in Education and the Lutheran Church, with experience and training in church and church-related work, especially related to youth and families in diversified communities. A practicing disciple of Jesus Christ, who desires to share their faith with others and lead them to also become disciples of Jesus Christ.

Office Administrator Job Description

Job Title: Office Administrator

Reports To: Pastor

Status: Full/Part-Time Salaried

 

Primary Objective: The Office Administrator serves in support of the Pastor in the administration of the business functions of the church, working closely with the Church Council and Committees. This ministry is the steward of the physical, financial and personnel resources of the church.

 

Major Area of Responsibilities:

Coordinate volunteers as necessary.

1. Office Management:

Plan, direct, and guide the work of the church office.

Develop and implement an efficient and effective office organization by improving methods and procedures.

Assure adequate inventory of equipment and supplies.

Maintain and update calendar of events and room schedules.

Assess needs of congregation to ensure office hours are serving those needs.

Develop sufficient back-up plans for staff coverage due to vacations, illness, etc.

2. Financial Administration:

Assist in identifying budget line item overages, determining causes, and developing financial policies to assure adherence.

Serve as a central purchasing agent for office supplies and equipment. For large purchases, perform price comparisons, secure bids, prepare proposals, and provide recommendations to Council.

3. Membership Management:

Ensure maintenance of Membership database, including production of reports as required to update the status of members, groups, spiritual gifts/talents, and other census information.

4. Building and Grounds:

Manage scheduling and use of the building and facilities.

 

5. Communication/Publishing

Serve as Editor of church publications including, but not limited to: weekly bulletin, monthly newsletter, Board minutes, Annual Report, flyers, inserts, missions brochure, program guide, etc.
